Job Description

Position Overview The Grants Associate plays a critical role in supporting our proposal and award teams. As a dedicated professional who applies acquired job skills, policies, and procedures, you will complete substantive assignments of moderate scope and complexity, exercising independent judgment within defined guidelines. Supervised by a Team Manager, you will provide direct, proactive support to a dedicated group of 6-7 Research Services Coordinators (RSCs) and award team specialists. Your work will span analytical, financial, and administrative activities to support contract and grant proposal development, funding, and budget development. This includes pre-award initiatives, post-award fund management, and closeout activities for federal, state, local, and private sponsors. Required Qualifications Education: Bachelor’s degree (BA/BS) with a major in a related field, and/or an equivalent combination of education and relevant experience. Industry Knowledge: Demonstrated familiarity with Research Administration and the grant proposal submission process. Regulatory Knowledge: Working knowledge of the rules, regulations, and compliance requirements for federal grant proposals. Skills & Competencies: strong analytical and financial tracking skills. High attention to detail regarding formatting, compliance, and document compilation. Ability to work independently to gather materials and follow up proactively with high-level stakeholders (PIs, external collaborators). Excellent organizational skills to manage milestones and document systems for a busy team of specialists.

Responsibilities

Application Preparation: Initiate the early stages of application preparation and compile final documents, ensuring strict adherence to proper formatting, page limits, updated forms, and correct component order prior to submission.
Material Gathering: Independently gather and follow up on vital proposal materials with Principal Investigators (PIs), project collaborators, and subcontractors (e.g., biosketches, "other support" documents, and effort/salary information).
Budgeting: Develop preliminary budget information for proposals, applying a working knowledge of the rules and regulations governing federal proposals.
Compliance Review: Review proposals to ensure institutional compliance, adherence to sponsor terms and conditions, and overall program success.
